Position Overview:
We are seeking a highly organized, efficient, and professional Personal Assistant to provide administrative and operational support to our Chief Executive Officer within the cosmetic industry. The perfect candidate will aim to bring structure and provide complete support to the CEO.
The ideal candidate will be proactive, detail-oriented, and capable of managing multiple tasks in a fast-paced and ever-changing environment. This role requires exceptional communication skills, planning and organising, problem solving, quickly acting on instructions, and the ability to handle sensitive and confidential information with professionalism. The ideal candidate will be able to foresee certain aspects and to envision the typical matters that need urgent attention and execution.
Key Responsibilities:
- Manage and maintain the CEO's calendar, schedule appointments, and coordinate meetings.
- Organise all administrative related documentation and correspondence.
- Screen and prioritize incoming communications, including emails and telephone calls.
- Prepare and edit correspondence, memos, reports, and presentations on behalf of the Chief Executive Officer.
- Make travel arrangements and accommodation for business trips, including the arrangement of Visa and passport related documentation.
- Assist with personal tasks and errands as needed which may include ensuring dry-cleaning is done, vehicle is washed, and refreshments are regularly available.
- Conduct research and compile information for special projects upon management's request.
- Coordinate and liaise with other members of the executive team and department heads as necessary.
- Handle confidential and sensitive information with discretion and confidentiality.
Requirements:
- Proven experience as a Personal Assistant or Executive Assistant to senior management.
- Excellent organisational and planning skills.
- The ability to multi-task and to work under immense pressure.
- The ability to adapt to changes in schedule
- Strong written and verbal communication abilities
- An exceptionally high level of attention to detail, correctness, and punctuality.
- The ability to be thoughtful and caring.
- Proficient in Microsoft Office suite.
- Ability to multitask and prioritize tasks effectively
- High level of discretion and professionalism when dealing with confidential information.
- A bachelor’s degree in business administration or related field preferred or would be advantageous.
- This is a full-time position based at our offices in Longmeadow, with occasional availability outside of regular business hours as and when needed.
- It may, from time to time, be a requirement to accompany the Chief Executive Officer on business-related trips.
